  • As soon as workflows go beyond 2–3 steps (e.g. add data enrichment, conditional logic, multi-stage processing), Zapier tasks multiply fast — which means the monthly bill inflates rapidly. For one doing a few hundred operations a day, those “tasks” add up. We’ve seen Zapier bills grow 3–5× within a few months as usage increases.
  • With n8n, even a complex automation (5–10+ steps) counts as one execution. So if we trigger a workflow 1,000 times a month — regardless of steps inside — we pay for 1,000 executions. That makes cost predictable and often much lower.

For clients comfortable with some technical setup — or when we build and manage for them — n8n self-hosted ends up being the cheapest and most scalable option. The only real cost becomes server hosting and maintenance.
